Key Responsibilities

Front Office Medical Practice Staff are responsible for managing the administrative tasks and providing excellent customer service in a medical practice or healthcare facility. They play a pivotal role in ensuring patients’ needs are met efficiently and professionally.

·       Greet patients warmly and professionally as they arrive at the practice.

·       Verify patient demographics, insurance information, and photo ID.

·       Assist with completing required forms and paperwork.

·       Schedule patient appointments, procedures, and follow-up visits.

·       Coordinate with clinical staff to ensure efficient patient flow.

·       Remind patients of upcoming appointments via phone or email.

·       Answer incoming calls promptly and courteously.

·       Provide information, address inquiries, and direct calls to the appropriate staff.

·       Take and relay messages accurately.

·       Create and maintain electronic health records (EHR) or paper files.

·       Ensure accurate and up-to-date patient information, including medical history and insurance details.

·       Handle patient records requests and maintain confidentiality in compliance with HIPAA.

·       Verify patient insurance coverage and eligibility.

·       Process insurance claims, including accurate coding and billing.

·       Assist patients in understanding their insurance benefits and financial responsibilities.

·       Collect patient co-pays, deductibles, and outstanding balances.

·       Process payments, issue receipts, and reconcile daily financial transactions.

·       Assist with medical billing tasks, including coding and claims submission.

·       Monitor and restock office supplies, forms, and patient education materials.

·       Ensure the availability of necessary equipment and devices.

·       Organize and file medical documents, reports, and correspondence.

·       Assist with medical records requests and maintain filing systems.

·       Provide assistance to patients with mobility issues or special needs.

·       Maintain a clean and comfortable waiting area for patients.

·       Collaborate with clinical staff, medical assistants, and physicians to ensure efficient patient care.

·       Communicate important patient information to the clinical team.

Education and/or Work Experience

·       High school diploma or equivalent; post-secondary education or relevant certifications are a plus.

·       Previous experience in a medical office or healthcare setting is preferred.

·       Strong interpersonal and communication skills.

·       Proficiency in office software, electronic health records (EHR), and appointment scheduling systems.

·       Knowledge of medical terminology, insurance billing, and coding.

·       Excellent organizational and multitasking abilities.

·       Familiarity with HIPAA regulations and patient confidentiality.

·       Empathy, patience, and a customer-centric approach to patient care.
