Practice Administrator

Job Summary
The Practice Administrator is responsible for overseeing the day-to-day operations of the medical or healthcare practice, ensuring its smooth functioning, financial stability, compliance with regulations, and delivery of high-quality patient care.
Essential Duties and Responsibilities
  • Provide strategic leadership and direction for the practice.
  • Develop and implement policies, procedures, and workflows to optimize practice operations.
  • Foster a positive and collaborative work environment for staff members.
  • Prepare and manage the practice budget, including revenue projections and expense control.
  • Oversee billing, coding, and revenue cycle management to maximize collections.
  • Monitor and analyze financial performance, identifying areas for improvement.
  • Recruit, hire, and train administrative and clinical staff.
  • Conduct regular performance evaluations and provide coaching and feedback.
  • Ensure compliance with employment laws and regulations.
  • Stay up-to-date with healthcare regulations and ensure the practice’s compliance with all relevant laws.
  • Manage and maintain accreditation and licensure requirements.
  • Implement and enforce privacy and security protocols to protect patient information.
  • Monitor and improve the quality of patient care and services.
  • Implement quality improvement initiatives and patient satisfaction surveys.
  • Address patient concerns and complaints.
  • Oversee the maintenance and safety of the practice’s physical space and equipment.
  • Coordinate with vendors for repairs and renovations as needed.
  • Manage electronic health records (EHR) and other healthcare information systems.
  • Ensure the efficient use of technology for patient care and administrative tasks.
  • Develop and maintain strong patient relationships and satisfaction.
  • Address patient inquiries and concerns in a timely and professional manner.
  • Participate in long-term planning and development of the practice, including expansion and growth strategies.
  • Analyze market trends and competition to identify opportunities.
  • Develop and implement emergency and disaster response plans.
  • Ensure the practice is prepared to handle unexpected situations.
Education and/or Work Requirements
  • Bachelor’s degree in healthcare administration, business administration, or a related field (Master’s degree preferred).
  • Previous experience in healthcare administration or management, with a strong understanding of healthcare regulations.
  • Excellent leadership, communication, and interpersonal skills.
  • Strong financial acumen and budget management experience.
  • Proficiency in healthcare information systems and technology.
  • Knowledge of medical billing and coding is a plus.
Physical Requirements
  • Sit or stand for extended periods of time.
  • Must be able to lift and carry, push or pull up to 50 lbs
  • Must be able to talk, listen and speak clearly in person and on the telephone.
